Introduction

As an enhancement to the seasonal app, we were requested to add a tracking and loading module which would reduce the the risk of theft and loss as stock is transferred from one Buying centre / branch to another.

Functional requirements

  1. Truck driver must be able to create a pick up
  2. Truck driver must be able to capture a picture of the consignment
  3. Truck driver must be able to sign for a pick up
  4. BC Manager must be able to capture a drop off
  5. BC Manager must be able to take a picture of the consignment 
  6. BC Manager must be able to sign for the drop off
  7. System must alert BC Manager if there is a weight difference of more that 5% between pick up and drop off
  8. Buying centres should not accept drop offs if the volume limit has been reached
  9. Branch manager should be able to set ceiling amount to prevent branches from purchasing more than the set ceiling amount
  10. Enable users to set buying centre times ie "trading hours"



Additional Information

This new module will enable better management of stock between as it is transferred from one buying centre to another. If the weight difference between pick up and drop off is greater than 5% an alert will be sent to the Buying centre manager.

There is also a new feature to updated volumes at each buying centre. The Branch manager is able to set how much volumes each branch/buying centre can handle. When the set volume has been reached, a notification will be sent to the branch manager 

for him or her to decide where to arrange for a pick up or to stop more drop offs from taking place.

In addition, the branch manage is also able to set a daily ceiling amount per buying centre or a global ceiling amount for all branches. once that ceiling amount has been reached, no more purchase can be done until the next day.

Finally, branch managers can set buying centre times, this will ensure that trading cannot happen outside the set operating hours. the manager is able to change this at will.

Below are screnshots of the basic flow of Tracking and loading.

Step 1. Truck driver will click on "create pick up" >>choose a collection point, this could be a brunch or a buying centre



Step 2. Select buying centre >> select buyer >> click on "create pick up"

Step 3. Enter number of bag >> enter weight of bags >> Sign for pick up >> take a picture of consignment >> click save

Step 4. Buying centre manager will click on "create drop off"



step 5. Tap on green arrow next to the drop off that you want to record

Step 6. Check if batch number matches >> Enter number of bags that have been dropped off >> enter weight of bags >> sign for drop off >> take a picture of consignment

The Buying center manager or the branch manager will get the below notification if there is a difference in  weight between drop off and pick up thats more than 5%

The last enhancement in this release is the buying centre times. The start and finish time will need to be set as illustrated in the screenshot below. This will ensure that trading with a buying cenrtre cannot happen outside the set operating hours.
